Vendor Code of Conduct

Who this applies to
This code applies to every Fixmark Group employee and to any company or person we approve to work on our behalf. It sets the minimum standard. When a client’s program rules are stricter, the client’s rules win.
Safety first
- Walk the work area before starting and fix or report hazards. If a condition is unsafe, stop and call dispatch.
- Wear the protective equipment the task calls for: eye protection, gloves, high-visibility vests in lots, and fall protection where required.
- Use ladders, lifts and tools only as the manufacturer intends and only if trained on them.
- Set up cones and signs so customers and staff stay clear of the work area.
- Report any injury, near miss or property damage to dispatch immediately, then in writing by the next day.
- In summer heat, take water, shade and rest breaks.
On-site conduct
- Wear the company uniform and ID, and follow the site’s sign-in and badge rules.
- No smoking, vaping, tobacco, alcohol or drugs on any client property, and never work impaired.
- No weapons on your person or in your vehicle on client property.
- Be courteous. No profanity, harassment, discrimination or remarks of a sexual nature, ever.
- Keep personal phone use and music off the job except for work.
- Use proper restrooms, park where the site allows, and keep vehicles clean and free of leaks.
- Clean up completely and take your debris with you unless the work order says otherwise.
Check-in and check-out
- Check in through the client’s platform or our app when you arrive on site, and check out when you leave. Both record the time and a location stamp.
- Never check in or out from anywhere but the site, and never ask someone else to do it for you.
- If you will miss the arrival window, tell dispatch before the window closes so the client can be updated.
Photo documentation
- Take before, during and after photos of every work order, from the same angle, with a wide shot that shows the location.
- Aim at the work, not at people. Do not photograph customers, patients, staff, screens, documents, cash areas or security equipment.
- Upload photos to the work order before checking out. Never post client photos on personal or social media accounts.
Scope, NTE and approvals
- Do only the work on the work order. If the job needs more time or money than the NTE, stop at a safe point, photograph the reason and request approval through dispatch.
- Report extra problems as recommendations. Do not fix and bill anything that was not approved.
- Never perform or promise work outside the service lines Fixmark Group offers.
No subcontracting without approval
Work may not be subcontracted, assigned or handed to anyone outside Fixmark Group unless we and the client have approved it in writing first. Any approved subcontractor must meet the same insurance, safety and conduct standards as our own team.
Client relationships and confidentiality
- Keep client information, pricing, site details and access codes confidential, during and after your work with us.
- Do not discuss pricing or offer services directly to a facility-management client’s customer. Send questions to the program contact.
- Do not accept gifts, cash or favors from client or customer staff, and never offer them.
Honest records and invoices
Time, photos, notes and materials on a work order must be true and complete. Invoices must match the approved scope and include the work-order number.
